Executive Assistant, Investment Banking

We are seeking an Executive Assistant to support the Healthcare Investment Banking team within Ladenburg Thalmann, a member of Advisor Group.  The successful candidate must be able to provide support in the organization and management of calendars as well as communicating with other team members as it relates to the processing, structuring and closing of transactions within the investment banking department.  The Executive Assistant candidate must be able to work in a fast paced work environment.


  • Assist junior staff members with independent research and due diligence utilizing industry information services such as Capital IQ and Bloomberg
  • Assist in the preparation presentation materials for use in client meetings, covering topics such as strategic alternatives, capital markets activity and general corporate finance
  • Participate in all stages of transaction executions
  • Assist with competitive market landscape analysis
  • Due diligence, research, analysis, and documentation assistance
  • Assist in keeping internal and external databases updated as required by the banking group
  • Manage daily operations as assigned; exhibit ownership in managing active calendars of appointments
  • Monitor and respond to incoming correspondence and phone calls while maintaining discretion and confidentiality
  • Effectively manage internal and external related activities such as meetings and communications with a high degree of professionalism, accuracy and confidentiality
  • Ability to keep track of meetings and appropriately update internal meeting note software systems such as DealCloud, Evernote and similar systems  
  • Facilitate visits from clients and firm personnel
  • Coordinate logistics for meetings, events and offsite conferences; assist with preparation of presentations (including the printing and binding of such materials) and ensure catering and transportation are completed
  • Arrange multifaceted domestic and international travel
  • Communicate with management and resolve conflict through broad decision making
  • Communicate professionally with internal and external individuals at all levels of the organization verbally and through high quality, concise emails
  • Update/edit Excel or PowerPoint presentations, including printing and binding, as requested
  • Lead, coordinate and execute on internal ad hoc projects, as requested
  • Assist with staff onboarding and off boarding working closely with our Office Managers to complete workstation setup, floor monitoring /space assignments
  • All other duties as assigned

Education Requirements:

  • Bachelor’s degree in Business preferred, high school diploma (or equivalent) in combination with significant experience will be considered in lieu of degree.  Minimum of high school diploma or equivalent is required. 

Basic Requirements :

  • Minimum of one to two years of experience in Investment Banking, IB Internships, or Transaction Advisory (Required)
  • Ability to work well under pressure and tight deadlines, and have the aptitude to synthesize large amounts of information and develop innovative solutions
  • Ability to manage multiple projects simultaneously
  • Proficiency in MS Word, Excel, PowerPoint
