Summary:

Our Team Lead will guide the Commissions Processing team as they Compile, process, and maintain Commission records of Financial transactions and office activities within the Commissions Department by performing the following duties on a superior level.

Responsibilities:

  • Oversea, the input, maintenance and tracking of commission batches received from Finance Accounting and Sponsor Companies, and Representatives alike, by coding with Representatives information, product information on the commission statement.
  • Distribute all Cash Receipt Journals (CRJ) to staff for processing daily.
  • Assist staff is retrieving Commissions Statements from Sponsor Companies when needed.
  • Assist staff with determining when new product needs to be setup up.
  • Oversee the Receipt and Process of checks from representatives, as it relates to Debit Balances.
  • Oversee the Receipt and Process Credit Card Payments (From Finance), as it relates to Debit Balances.  Assign Team the task of making check deposits updating check inquiry file (Control File).
  • Setup and maintain direct deposit information for representatives.  Communicate with sponsors on discrepancies of statements and payments received
  • Formats Excel spreadsheets for uploading into commission system for processing to reps.
  • Process and edit NSCC, PGS, and NFS Files into the Commission Legacy System to create commission Cash Receipt Journals entries.
  • Assign Team the task of Opening and Routing incoming mail, answers correspondence, and prepares outgoing mail, and Terminated Advisor Commission Check Payments.
  • Perform Quality Assurance to ensure accuracy of information that is entered into the commissions systems as batches are processed. Work with Staff performing inferior to others, to assist them in getting reaching the same level as the rest of the staff. 
  • Review prepared processed batches each week for imaging into the Docupace System by Mailroom, and rotate task of indexing imaged batches in Docupace System.
  • Review batches scanned / imaged into Docupace to ensure they are properly scanned / imaged, and are retrievable.
  • Participate in projects either independently or under the direction of the Director / Business Analyst or Vice President.
  • Review of commission processing system, daily to detect issues and/or abnormalities, and report to Business Analyst and Director
  • Meet with Team Weekly and review outstanding items and cultivate plan to execution of reducing outstanding items.
  • Conduct Training Weekly with Team to ensure best processing practices are being utilized to fullest potential.
  • Assist Service Team on resolution of complicated Salesforce Cases.
  • Work with IT and other internal parties to meet established SLA’s, goals and deliverables
  • All other duties as assigned

Education Requirements:

  • Minimum of high school diploma or equivalent is required. 

Basic Requirements:

  • Two to four years of related Broker Dealer Back Office Commission Processing experience and/or training.
  • Superior Data Entry experience on the CAESAR Commission Processing System
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
